Sample papers
Real in the engineMade from a sample meeting and a sample election run through the real backend, not drawn by hand. Sample data only.
Every paper is a sample. Each PDF is marked SAMPLE - not a real meeting (or election) on every page, and uses made-up names such as SampleData1 and SampleFlat1. Nothing here is real.
One sample meeting and one sample election were run from the empty form to the declared result on the real backend of this sample. Every paper below was then written from what the backend holds, so the numbers agree from one paper to the next: the same voters, the same quorum, the same counts.
A promise the papers keep: the ballot stays secret
All voting is a secret ballot. The list of who has voted is kept apart from the box of marked ballots, so no paper, screen or file can show which voter chose what. The papers that name voters (the lists, the attendance sheet) hold no choice. The papers that hold choices (the ballots, the count, the results, the minutes) hold no voter name and no ID.
A sample Annual General Meeting of a made-up society: 14 voters on the list, weighted votes and four voting points. One point needs two-thirds and passes; one needs three-quarters and does not pass.

Who may vote
Voting rights belong to members, owners of a flat or house, tenants and proxies nominated by a member or an owner, as shown on the final voter list. Each vote carries its own weightage, shown on the voter list. Attending does not by itself give a right to vote.
How the vote is taken
All voting is a secret ballot: paper and online combined: the voter votes on the mobile, prints the ballot and puts it in the box. The list of who has voted is kept apart from the marked ballots, so no paper can show what any voter chose.
Quorum and majority
Quorum
40% of the members who can vote, counted by physical and online attendance. That is 5 of 12 in this sample.
If the quorum is short
The meeting is postponed and called again on NaN undefined NaN.
How a vote is won
Simple majority by weightage unless a point says otherwise on the agenda. Abstain never counts for or against.

Amendment of bye-law 12 on visitor parking (for voting)

Notice of the meeting is given to every voter on the final voter list at least 14 days before the day.
The meeting begins only when the quorum is present: 40% of the members who can vote, counted by physical and online attendance.
If the quorum is short, the meeting is postponed to NaN undefined NaN.
Each voter shows an ID at the door. The Attendance Monitor allows a person in only after the ID has been checked. Attending does not by itself give a right to vote.
Only a voter whose documents were accepted can vote. A rejected voter cannot vote.
All voting is a secret ballot. Each voter receives one ballot on each voting point, and cannot vote twice, whatever the way of voting.
The way of voting: paper and online combined: the voter votes on the mobile, prints the ballot and puts it in the box.
A resolution is passed by a simple majority by weightage of the votes cast, unless the agenda names another majority for a point. Abstain is recorded but never counts for or against.
Each vote carries the weightage shown on the voter list.
The Host opens and closes the voting of each point by hand, and every opening and closing is recorded with its time.
A vote, once cast, cannot be changed. A mistaken ballot is dealt with by the Presiding Officer and recorded.
The result of each point is declared by the Chairperson. The result sheet and the minutes are recorded when the meeting is closed.
